A pre-payroll attendance reconciliation checklist

Check the selected population, blocking exceptions, payroll IDs and receiver outcomes before treating an attendance handoff as complete.

Begin with the population and period

Confirm which workers and sites belong in the run, the reporting dates and relevant local work dates. A night shift may belong to its starting date even when checkout occurs the next morning. A file with a plausible total can still omit a worker or use the wrong period boundary.

Reconcile a worked example

Worker A has eight worked hours and a configured half-hour break: 7.5 calculated paid hours. Worker B has a missing checkout. Worker C has eight complete hours but no payroll ID.

Attendify’s named-format policy export can include A, exclude B’s blocking day and omit C because the target requires a payroll ID. The correct reconciliation is 7.5 exported hours plus explicit follow-up for B and C. It is not “all payroll is ready because the file generated.”

Resolve the missing evidence and mapping, or document the accountable handling needed to pay genuine work under the applicable obligations. Do not make an unresolved software exception the sole basis for withholding pay.

Check the file and receiver

Compare selected and exported worker counts, row counts, dates, hours and exclusions. Inspect the actual named-layout fields. Site display names may need transformation; a successful CSV download proves nothing about acceptance in SAP, Oracle or Workday.

After import, retain the receiving run identifier and accepted/rejected totals. Investigate differences before declaring the handoff complete. Decide how reruns and late corrections replace earlier data rather than duplicate it.

Retain the release evidence

Keep the reviewed period, relevant exception disposition, export and receiver result under the company’s retention policy. Attendance review, correction approval and final payroll authorization are distinct steps.
