New-site attendance onboarding: prepare, test and support

Prepare worker IDs, site assignments and real-device checks before the first shift, with a clear path for exceptions.

Prepare the roster before induction

Create the site, confirm its real arrival point and prepare the worker data. Customer employee IDs should remain text so leading zeros survive. Payroll IDs have a separate purpose and need receiver-side verification.

Attendify stages CSV/XLSX input and shows proposed changes. Inspect creates, updates, unchanged rows and errors. Unknown site names may produce workers without assignment; an uploaded row is not automatically a worker ready to check in.

Use an induction setting

A worker enters company code plus customer employee ID or legacy worker code, then sets a PIN. The personal device is remembered after setup. Confirm connectivity for onboarding, camera and location permissions, and one successful test capture.

Do this where assistance is available and there is time to resolve a problem. Avoid discovering missing accounts in a queue at shift start. Do not promise a particular enrollment time without measuring the real devices and workforce.

Test the site, not just the app

Stand at the intended entrance and check location quality and the boundary. Test at the actual arrival time so lighting conditions are representative. For an offline pilot, distinguish a phone with no internet from one without a usable location fix.

Include a missed checkout and a rejected synchronization in the supervisor walkthrough. Staff should know whom to contact and how genuine work is reviewed when a capture fails.

Decide how workers without a usable phone will participate

A shared kiosk may be relevant, but Attendify’s kiosk is controlled, uses online face identification and needs enrollment, privacy and fallback decisions. It is not a universal substitute for every device problem or a non-biometric alternative.

Do not invent a failure percentage when planning assistance. Measure setup issues in a small representative group and adjust staffing and equipment accordingly.

Define readiness and follow-up

A site is ready when representative workers can capture attendance, supervisors can resolve exceptions and payroll can reconcile the resulting export. Review the second operating cycle as well as the first day: new patterns often become visible after initial assistance ends.

The import guide and migration plan provide the wider preparation process. Keep the approved fallback until the normal flow is demonstrably usable.
